DELIVERABLES FOR WEEK 5:
MS PROJECT FILE WITH SCHEDULE AND ALLOCATED RESOURCES WITH ASSOCIATED COSTS (50 POINTS)
MS WORD FILE WITH REPORT OF PROJECT BUDGET AND RESOURCE MANAGEMENT (50 POINTS)
FOLLOW THESE STEPS TO SET UP YOUR COURSE PROJECT WITH MICROSOFT PROJECT 2016.
STEP 1: ALLOCATE RESOURCES
ONCE YOU HAVE THE WBS CREATED IN MS PROJECTS, ASSIGN RESOURCES TO EACH ACTIVITY. REMEMBER, ONLY ASSIGN RESOURCES TO ACTIVITIES, NOT SUMMARY TASKS. BEFORE YOU CAN DO THIS, YOU NEED TO CREATE A RESOURCES SHEET IN MS PROJECTS.
TO CREATE A RESOURCE SHEET, DO THE FOLLOWING.
CLICK ON VIEW, RESOURCE SHEET.
ENTER THE RESOURCE NAME, WHETHER IT IS A HUMAN RESOURCE, A COST, OR A MATERIAL.
INCLUDE HOURLY RATE OR OTHER COSTING METHOD.
FOR MATERIALS, DESIGNATE THE RESOURCE AS WORK AND IDENTIFY COST FOR USE (I.E., COST PER YARD).
TO ASSIGN YOUR RESOURCES TO THE ALIGNED TASKS IN MS PROJECT, FOLLOW THE STEPS BELOW.
TO ASSIGN RESOURCES
CHOOSE VIEWGANTT CHART.
SELECT RESOURCE TAB
HIGHLIGHT THE FIRST TASK.
CLICK ON THE DOUBLE HEADED ICON ON THE UPPER TOOL BAR (ASSIGN RESOURCES), OR CLICK ALT-F10.
IN THE RESOURCE ASSIGNMENT WINDOW, SELECT THE APPROPRIATE RESOURCE FOR EACH ACTIVITY.
REPEAT FOR ALL RESOURCES AND ACTIVITIES ACCORDING TO THE RESOURCE LIST ABOVE.
STEP 2: REVIEW COSTS
RIGHT CLICK ABOVE LAST COLUMN.
SELECT INSERT COLUMN.
SELECT COSTS.
THE COSTS WILL APPEAR AND ROLL UP TO SUMMARY TASKS. YOU HAVE NOW CREATED YOUR PRELIMINARY BUDGET.
STEP 3: ANALYZE YOUR RESOURCE ALLOCATION AND ASSIGNMENTS
THERE ARE SEVERAL METHODS TO CHECK FOR OVERALLOCATED RESOURCES.
CLICK ON VIEW, RESOURCE SHEETRESOURCE(S) IN RED COLOR ARE OVERALLOCATED.
CLICK ON VIEW, RESOURCE USAGERESOURCE(S) IN RED COLOR ARE OVERALLOCATED RESOURCE(S) BY DATE.
CLICK ON PROJECT, REPORTS. A DIALOG BOX APPEARS, CLICK ON ASSIGNMENTS THEN SELECT. THEN CLICK THE REPORT FOR OVERALLOCATED RESOURCES, AND THEN SELECT TO PRINT OR VIEW.
REMEMBER WITH RESOURCES YOU NEED TO ASSIGN HOW MUCH TIME (BY A PERCENTAGE) EACH RESOURCE WILL BE ALLOCATED TO EACH ACTIVITY. SIMPLY LOWERING A GIVEN PERCENTAGE MAY CLEAR AN OVERALLOCATION, BUT THIS IS NOT POSSIBLE. OVERALLOCATIONS USUALLY MEAN THAT THE PROJECT REQUIRES AN ADDITIONAL RESOURCE OR THE TIMING OF THE TASKS HAS TO BE MADE CONCURRENT.
STEP 4: PROJECT BUDGET (COST MANAGEMENT)
EXPLAIN YOUR APPROACH TO ESTIMATING THE PROJECT COST (E.G., TOP DOWN, BOTTOM UP, ETC.) AND WHY THAT METHOD WAS CHOSEN.
CREATE A TABLE THAT SHOWS THE ORIGINAL BUDGETED COST (FROM THE CHARTER) AND THE ACTUAL BUDGETED COST (SIDE BY SIDE). INCLUDE LINE ITEMS FOR LABOR, MATERIALS, CONTRACT, EQUIPMENT, TRAVEL COST, AND SO ON. USE THE COSTS YOU NOW HAVE IN YOUR SCHEDULE TO COMPARE TO YOUR CHARTER COSTS.
COMPARE THE BUDGET FROM THE CHARTER TO THE FINAL BUDGET, AND EXPLAIN ANY VARIANCES THAT OCCURRED FROM YOUR ORIGINAL BUDGETED COST IN THE PROJECT CHARTER AND THE CURRENT PROJECT COST (INCLUDE YOUR ORIGINAL ESTIMATED COST FOR THE PROJECT).
EXPLAIN YOUR BUDGET CONTINGENCY PLAN AND HOW MUCH IS BUDGETED FOR CONTINGENCY.
STEP 5: RESOURCE MANAGEMENT
EXPLAIN THE RESULTS OF YOUR RESOURCE ASSIGNMENTS. DID YOU ASSIGN ENOUGH PEOPLE TO THE PROJECT? WERE THERE ANY RESOURCES OVERALLOCATED? WHAT APPROACH WILL YOU TAKE TO FIX ANY ALLOCATION PROBLEMS?
DEVELOP A PLAN TO MANAGE YOUR PROJECT TEAM, AND DEFINE HOW YOU WILL MOTIVATE YOUR TEAM AND HOW YOU WILL HANDLE TEAM CONFLICTS. Running Head: PROJECT CHARTER

PROJECT CHARTER
Mission/Purpose
My project would be on helping out single parents that are middle to lower class that need
that extra assistance that they arent able to get from the government since they dont qualify.
Project and Product Description
o
This project would help single parents find jobs, help with providing clothes, food, and assistance
on how to buy an affordable house and life classes. This organization would help out single
parent families with as much help as possible to keep them from becoming homeless if possible.
Objectives
o Some of the objectives would making sure that there are enough donations. In order
to make this a long-term project we would have to have enough sponsors to continue
to make enough donations to be able to provide. Before doors can open, we would
have to have a set amount received and a set amount of donations to be able to help
out multiple families.
Milestone
o Getting a set plan on how the organization would be run. Once a place is founded having set
hours of when it would be open, hire some main workers for marketing, finances, inventory,
managers to run the business. There would have to first be so much work done before the project
can open like get as many sponsors as possible to donate, raise funds, and have a set plan on how
everything would be running.
Budget
3
PROJECT CHARTER
o
There is no set budget but there would be a lot of fundraiser and we would also accept any
donations that will help out. Hopefully also we can enough sponsors to keep it running. There
would have to be a set budget for any workers that would need to be paid which would only be
the main people due to would like for the project to be more on volunteering for a good cause.
This is a non-profit organization, so everything would be running off of sponsors and donations.
User Acceptance Criteria
o
The minimum standards would be to be able to have a set amount like at lease over $100K to get
started to hire workers to set up the place and get everything organized. It would be great to have
a lot of the same sponsors that would be able to continue to help along with new ones. The owner
and financial person would have to get a budget to know what it would take to continue to run the
business.
High-Level Assumptions
4
PROJECT CHARTER
o I believe that this project will start and will continue for many years down the road to
help out as many families as possible.
o
I believe that the organization will grow and there will be so many sponsors that it
wont struggle.
o I believe that this will be a great organization for the community that there will be
many people that would love to give back to the community so they will donate and
volunteer.
o There will always be enough people to help out but there need to be enough people
to continue to help run the business.
High-Level Constraints
o
Not having enough funds or donations to continue to help families.
o
There would have to be a limit on how many families that would be able to be assisted each week
so that we would be able to stay within budget.
Exclusions and Boundaries
o
This organization wouldnt be to assist families that for married couples.
o
This is strictly for single parents to help them get back on their feet.
o
They would have to show where they arent married, and they are in need.
5
PROJECT CHARTER
Major Risks
Some risks would not be having enough funds to keep the organization going to continue to
help out as many as possible.
Starting the project and be unable to complete it.
Key Stakeholders
o I think that everyone would be affected.
o The owner, helpers, customers, and any sponsors.
