“Project-Stakeholders”
• “Stakeholders are people directly involved with or
affected by the project activities”
• Project “stakeholders” are:
o Project” lead (manager)
o Team” involved (precisely project team)
o Functional management
o Sponsor
o user
• Stakeholders are primarily divided into
o Internal Stakeholders &
o External Stakeholders
Stakeholders Analysis
Stakeholders Analysis required to:
• Identify potential stakeholders
• Evaluating their competency with relevance to the
project
• Assessing their opinions with regards to requirements
of project
• Develop a communication grid among all stakeholders
of project.
Stakeholders Communication
The aim of communication is to pass the message to others
• Sharing
information
among
everyone who is involved in the
project for:
o Taking Decision
o Coordinating action
o Performing task
o Recognize and solve
problems
o feedback
• Communication Process involves:

o

Message

Requirement Specifications
• Objective s of the project are defined in terms of:
o Functional Requirements
This type of requirement defines the functionality of the
product. It defines what the end product is supposed to do.
For this we develop system analysis and design methods.
o Quality Requirements
This type of concentrates mainly on the way or the
procedure (how the work is carried). It mainly concentrate
on how the work is actually implemented.
o Resource Requirements
Identify potential stakeholders
• Firstly evaluate whom the target customers are for
the project taken up.
• Secondly identify potential sponsors for the project
• Thirdly count on the employees who will be most
suitable to perform the present project
• Next evaluate the objectives set by the top
management and communicate them to all
stakeholders and involve them in the decision review
• Finally draft the decisions taken along with the
stakeholders in order to have clarity and send this
copy to every stakeholder
Back
Why do Projects Fail?
•“failure of estimation”
•“failure of implementation”
Additional factors resulting in project
failure
– “Initial cost and schedule estimates are not revised when more
information becomes available as the project progresses.”
– “Plans are not used correctly or used to guide the project forward.”
– “Project managers are not trained to acquire the necessary skill base;
subsequently, the same mistakes are made repeatedly.”
– “The theory of project management is not put into practice. This point
can be seen in the attitude of many managers who view theory as a
waste of time—yet time is found to repair errors later. Isn’t that a sure
sign of the wrong approach?”
– Scope Creep.
– Wrong methodology are in placed.
– Customers is frequently changing the requirements.
– Not defining the stakeholders communications plans.
– Ignoring the quality factors such as inspections and testing.

Project Life Cycle for Systems Development/
Project Management Framework

Planning / Design
Monitoring &
Controlling
Closing
“Project” Development Stages
Initiation – determines the nature and scope
Key project controls need at this stage are
– “Understanding business environment”
– “And making sure that all necessary controls are
incorporated into the project”
Initiation stage should include a cohesive plan which includes*
•Study analyzing the business needs in measurable goals.
•Review of the current operations.
•Conceptual design of the operation of the final product.
•Equipment requirement.
•Financial analysis of the costs and benefits including a budget.
•Select stakeholders, including users, and support personnel for the
project.
•Project charter including costs, tasks, deliverables, and schedule.
Reference: * https://books.google.com.om/books?isbn=8190777076
Planning and Design
Planning – should include
• Detailed identification and assignment of each task
until the end of the project
• Risk analysis and a definition of a criteria for the
successful completion of each deliverable
• The governance process is defined, stakeholders
identified and reporting frequency and channels
agreed.
• The most common tools or methodologies used in the
planning stage are Business Plan and Milestones
Reviews
Design – to ensure that the final product meet the
specification of project charter
Executing
Monitoring and Controlling
Monitoring and Controlling includes
Monitoring & Controlling Cycle
Where we are?
(Measurement)
How can we get
track again ?
(Correction)
Where we
planned to be
(evaluation)
Project Maintenance is an ongoing process, and it
includes:
• Continuing support of end users
• Correction of errors
• Updates of the software over time
Project Closing
• Project Closing includes formal acceptance of project
• Archiving of files and documentation
• Closing phase again consists of
• Close project:
• Contract closure
The Triple Constraints
• Project need to perform and delivered under the
following constraints
•Scope – What is the project trying to accomplish?
•Time – How long should it take to complete?
•Cost – What should it cost?
Project manager should keep a balance
between constraints
The Triple Constraint of Project Management
Reference: http://slideplayer.com/slide/5753508/
Reference: https://resources.workfront.com/project-management-blog/the-6-project-constraints
• These three constraints are often competing
constraints
– “Increased scope typically means increased time
and increased cost,”
– “A tight time constraint could mean
increased costs and reduced scope, and”
– “A tight budget could mean increased time
and reduced scope.”

Plans, Methods and Methodology
“Plan” is deciding strategy for handling project such as:
o
o
o
o
Organizing
Leading
Coordinating
Controlling
“Methods” are techniques used to make and execute the plan such as:
o
Techniques used for estimating
? Size of project
? Time
? Cost
o Technology used to accomplish the project
“Methodology” is planning for an activity that is based
on some idea of method to work is called methodology
• It include following steps:
o Initiating a Project
o Controlling a Project
o Closing a Project
Project Planning
Project Manager must bring complete
understanding of the project’s requirements
with a deep understanding of all the
elements that are required to conduct a
successful project.
• Issues / areas where for project manager need to
focus during the course of project
oPlanning
? Planning is the definition of work to be done,
including resource requirements, dependencies
and timing
oEstimation
? is the calculation of the amount of time and effort
that will be required per type of resource for each
part of the work to be done.
oResourcing
? is the allocation of actual resources (usually the project’s
workforce) to the plan

What are the approaches available to project
manager…!!! For planning
• top down?
• bottom up?
• one plan or several sub-plans?
• automated scheduling or manual scheduling?
• Whatever may be the approach the focus must be
on….
? activity,
? process,
? deliverable,
? outcome, or milestone
Top – Down
• The classic approach to planning is top-down
• Top-down is the most logical way of thinking about a
project and is usually the best approach to new
endeavours.
• It provides an early high-level plan, including initial
costs and timings, which can be used in the project’s
definition and benefit case.
• A “top-down” approach is one where an executive,
decision maker, or other person makes a decision.
This approach is spread under their authority to
lower levels in the hierarchy, who are, to a greater or
lesser extent, bound by them.
Advantages of Top – Down approach
• Easy to visualize functionality.
• Sense of completeness in the requirement.
• Easy to show the progress of development.
Disadvantages of Top – Down approach
• No Concrete layer to rely on, as both presentation &
Business Logic keep evolving.
• Lack of concrete test suits to ensure one layer is tied
up.
Bottom – Up
• In bottom-up planning we start with the full detail of a
previous plan and adjust the precise details, estimates
and dependencies to be correct for the new project.
• Bottom-up planning makes sense where we already
have a good example of a successful similar project
plan to base the new project on.
Advantages of Bottom – UP approach
• Solid Business Logic, hence zero redundancy
• Good Unit test case can be written to validate
changes.
• Developer has only option to use unit testing tools to
test the Logic.
• Easy to ma…
