Journal of Advanced Technical Writing – Request for Proposals
1. INTRODUCTION
As your professor and the editor of the Journal of Advanced Technical Writing (“the Journal”),
I am issuing this Request for Proposal (“RFP”) seeking proposals for collaborative studies for
the next edition of the Journal: (to be determined based upon projects accepted).
Your purpose in writing this proposal is to introduce a research question or problem and
seek approval for a study that should be conducted by a group of student researchers, ideally
in the upcoming fall semester. Your proposal will focus on your preliminary research in two
areas:
?
?
First, you will investigate an existing problem you identified related to the incident
you reported in your MA-1 submission.
Second, you will discuss possible solutions to the problem that your research
suggests should be investigated by a student research team.
2. GENERAL DESCRIPTION AND RFP SCHEDULE
2.1 GENERAL DESCRIPTION
Audience and Purpose. While working on your proposal, remember that you’ll be trying to
convince me that the problem you discuss is significant, and that the research you propose
is valuable. When writing your proposal, think of me as a person who looks forward to
assigning a student research group to complete the study outlined in your proposal. This
means I need to be convinced that you have done adequate preliminary research, and that
you have clear focus on a specific problem or opportunity for improvement.
Your goal for this proposal is to convince me that your research project is doable and that a
team of students would be capable of completing it. My attitude toward your project will be
neutral until I read your proposal. After reading your proposal, I will issue one of three
directives: proceed with the research project, revise the research project, or discard the
research project. Understand that the outcome of your proposal is the final step for you
during this session of the course.
2.2 RFP SCHEDULE SUMMARY
The deadlines for the RFP process are provided in the following table. The dates and times
contained are subject to change by the editor. Any change will be communicated to
respondents by e-mail.

3. PROPOSAL REQUIREMENTS
Proposals must be submitted in the format of a formal business report as represented in
examples provided in Moodle. The proposal must be presented in sections in the order
indicated below using appropriate headers and section numbering. Reference material may
be appended to the proposal in either additional paragraphs or appendices if appropriate.
3.1 PROBLEM STATEMENT
?
?
?
The section headings for this section will include “Introduction” and “Background.”
Provide a brief background of the problem or issue that you are exploring as a topic
for this research. You may use the subject of your MA-1 submission as an example.
Use the problem statement letter you developed in MA-2 as a starting point.
3.2 LITERATURE REVIEW
?
?
Complete secondary research and discuss the most significant known information
from previous research about both the problem and any proposed solutions you
think should be explored.
Use the annotated bibliography you developed in MA-3 as a starting point.
3.3 RESEARCH PLAN
?
?
?
?
?
?
The section headings for this section will include “Research Methods,” “Budget
Considerations” and “Project Schedule.”
Keep in mind that you should write this proposal as if you plan to begin work on the
project yourself (with a team) beginning early in the upcoming semester.
How would you go about conducting your research and producing your
deliverables?
In the event funding could be secured for your study, what cost items would you
need to consider?
Will you have to secure special permissions to conduct your research and do you
have access to the necessary resources to conduct your research?
Could you research your topic and produce your deliverables in the fall semester?
3.4 EXPERIENCE AND TEAM
?
?
?
The section headings for this section will include “Team” and “Experience.”
What do you think should be the study team’s qualifications and characteristics? How
many students should be part of the group? Would they need an advisor? Other
requirements?
Provide a description of your own experience and qualifications as a lead researcher. This
section should provide a narrative about you as the researcher and writer. It also may
include your resume as an appendix to more fully demonstrate your qualifications. The
resume is not required.
3
Journal of Advanced Technical Writing – Request for Proposals
3.5 CONCLUSION AND REFERENCES
?
?
?
The section headings for this section will include “Conclusion” and “References.”
Summarize your research study proposal and the reasons I should accept your project.
Provide a bibliography (IEEE) of any outside sources you used to write the proposal. The
References section should not have annotated entries.
4. EVALUATION CRITERIA
In order to make my decision about your proposed project, I will seek answers to many
questions, including but not limited to the following:
?
?
?
?
What specific aspect of the problem would you/your team be researching and,
ultimately, making a recommendation or set of recommendations about?
Who would your research report’s primary/secondary/tertiary readers be?
What is the purpose of what you are proposing?
o What task(s) will your research and recommendation enable the report’s
readers to perform?
o How might the report alter its readers’ attitudes?
o Who might benefit from or be affected by your research project?
What primary and/or secondary research did you conduct and properly credit as
evidence of the existence and appropriateness of the problem you are addressing?
You can assume I will issue one of three directives regarding the research project you have
proposed in response to this MA-4 RFP:
?
?
?
In a future semester, I would assign a group of students to proceed with your
research project as proposed;
Your proposed research project should be revised prior to being assigned to a future
group of students to study; or
Your research project is not acceptable for assignment to a group of students in a
future section of this course.
Thank you for your participation in this process.

Subject:
Proposal for a Fall Semester 2019 Research Project:
(Put your topic on this second line)
Dear Professor Corbitt:
I am writing this letter as a formal response to the Request for Proposals (“RFP”) that was issued June 5,
2019, in the Advanced Technical Writing class for summer 2019.
My objective is to propose a student research project that will …
Action Verb: such as determine, design, improve, create, etc. Avoid verbs like study, explore, look at
… a brief statement of the solution you think is best for the problem you have studied.
Example:
My objective is to propose a student research project that will result in a recommendation to design
improved non-destructive diagnostic procedures for detection of delamination flaws in reinforced
concrete.
1. PROBLEM STATEMENT [2 to 4 paragraphs]
1.1
Introduction
Explain in a paragraph or two the summary of your entire proposal and your hopes for a solution. This is
probably going to be the last part you write, even though it appears first, because it’s a summary.
1.2
Background
In a paragraph or two, provide some research-based information to convince me that there is a
problem, opportunity, or need for your solution. Cite the sources for your research material in this
section.
2. LITERATURE REVIEW [2 to 4 pages]
Begin this section with a brief introductory paragraph explaining where you searched for source
information, what keywords you used, what you hoped to find. Explain what I will find in the upcoming
paragraphs: that is, details about the documentary sources of information you found (and probably used
for MA-3) regarding both the problem and any solution you think may be promising. The purpose of this
section is to provide context for the study within the other current work being done on the topic.
Framework for a Proposal in Response to the RFP for WRIT 321
3. RESEARCH PLAN [Varies: 2 TO 5+ pages]
3.1
Research Methods
Begin this section with a brief introductory paragraph explaining where you would send students to
search for source information, what keywords you suggest, and what you think the researchers
should try to find. PLEASE READ the chapter in Moodle for an explanation of all the standard
research methods.
3.1.1
3.1.2
3.2
Secondary Research This is where you should write about how the team of student
researchers in the fall semester could search online and in the library materials for studies
and other related documentary information. Include search terms here you think would be
helpful.
Primary Research Here you should write about your ideas for conducting experiments,
observations, surveys, interviews, etc. in order to complete the project you are proposing.
Budget Considerations
This section includes your estimate of the resources, both financial and time, you think would be
required to conduct the study you are proposing. You may want to research a study of similar scope
either at Montana Tech or elsewhere to see what kind of budget may be needed. Cite your sources.
You may use one or more tables to provide estimated budget information. Be sure to caption any
illustrations according to the rules you learned in MA-1.
3.3
Project Schedule
Assuming a team of students will have 8-10 weeks in the Fall Semester 2019 to complete the study
you propose, provide a schedule including dates and milestones that you recommend they follow.
You may want to present this information in a Gantt chart with a sentence or two introducing it.
4. EXPERIENCE AND TEAM [up to 1 page]
4.1
Team
Describe the detail of the study team you think should conduct your study next semester. This is
intended to show me that you have thought about the details included in the Research Plan. Make
whatever assumptions about the students that will help you.
4.2
Experience
Use this section to describe your own experience with research as well as with your chosen topic. If
you were in charge of this project, what experiences do you have that would make you the best
person to lead the study? This discussion should help me assess the credibility of your proposal for a
study.
5. CONCLUSION [up to 1 page]
Summarize your research study proposal and the reasons I should accept your project.
Framework for a Proposal in Response to the RFP for WRIT 321
REMEMBER:
This proposal is in the form of a letter, so you should write an appropriate short paragraph to end the
letter and set up a signature block:
Thank you for considering this response to your Request for Proposals. I am hopeful you agree that the
study I propose is timely, worthwhile, and a good fit for the needs of your WRIT 321 students. Please
contact me at _______________________ if you have any questions about this proposal or need
additional information. I look forward to your approval of this project.
Sincerely,
